Privacy Policy

This Privacy Policy explains how Quotecasts("we", "us", "our") collects, uses, and protects personal information when you visit quotecasts.com and use the Quotecasts service (the "Service"). We handle personal information in accordance with Quebec's Act respecting the protection of personal information in the private sector (Law 25) and, where it applies to you, the EU General Data Protection Regulation (GDPR).

1. Who we are and how to reach us

Quotecasts is operated by Double V Gagné Inc., based in the Province of Quebec, Canada. Our postal address is available on request by writing to privacy@quotecasts.com. The person responsible for the protection of personal information (our Privacy Officer under Law 25) can be reached at the same address.

2. The two roles we play

For your account and your use of the Service, we act as the controller of your personal information. For the client and prospect information you enter into your quotes, you are the controller and we act as a processor acting on your instructions. You are responsible for having a lawful basis and the right to provide that information and to send communications to those people.

3. Information we collect

  • Account information: your name, email, business name and details, and brand settings.
  • Content you create: quotes, sections, pricing, and the information about your clients that you add (names, emails, addresses, phone numbers).
  • Video content: recordings you upload or record, which are hosted by our video provider.
  • Usage and analytics: pages viewed, quote view sessions and section engagement (including approximate viewing time, IP address, and browser or device information), and analytics collected through Google Analytics (see the Cookies section).
  • Payment information: when you subscribe, payments are processed by Stripe and we do not store full card numbers. When your own clients pay you through the Service, those payments are processed by Stripe Connect on your connected account.
  • Communications: emails sent and received through the Service.

4. How we use information and our legal bases

  • To provide and operate the Service (performance of a contract).
  • To send transactional emails such as quotes, receipts, and notifications (contract and legitimate interest).
  • To analyze usage and improve the Service (legitimate interest, or consent where required for non-essential cookies).
  • For billing, security, and fraud prevention (contract and legal obligation).
  • With your consent, where the law requires it.

5. Cookies and analytics (Google Analytics)

We use essential cookies for authentication and to keep you signed in. We also use Google Analyticsto understand how the Service is used; Google Analytics may set cookies and process usage data (including IP address) on our behalf. Where required, we ask for your consent before enabling non-essential and analytics cookies. You can opt out through your browser settings or with Google's opt-out browser add-on at tools.google.com/dlpage/gaoptout.

6. Service providers and sub-processors

We share personal information only with providers that help us operate the Service, each under contract and only as needed:

  • Supabase for database, authentication, and file storage.
  • Vercel for application hosting.
  • Stripe for subscription billing and for client payments (Stripe Connect).
  • Resend for transactional email delivery.
  • Cloudflare (Stream) for video hosting and delivery.
  • Google Analytics for usage analytics.
  • Sentry for error monitoring and diagnostics.

An up-to-date list of our sub-processors is available on request. We do not sell personal information.

7. International transfers

Some providers process data outside Quebec, including in the United States and the European Union. Where personal information is transferred outside your jurisdiction, we rely on appropriate safeguards such as contractual protections. By using the Service, you understand that your information may be processed outside Quebec, Canada, or the EU.

8. How long we keep information

We keep account information for as long as your account is active. If you downgrade or cancel, we retain your data for a grace period (currently 30 days) so you can resubscribe, after which it may be deleted. Client and quote content is kept while your account holds it, and you can delete it at any time. We delete or anonymize personal information when it is no longer needed, subject to our legal obligations.

9. Your rights (Law 25 and GDPR)

Depending on where you live, you may have the right to access, correct, delete, or receive a portable copy of your personal information; to withdraw consent; and to object to or restrict certain processing. Under Law 25 you may also ask to be informed about automated decision-making and to request de-indexing in certain cases. To exercise any of these rights, contact privacy@quotecasts.com. We respond within the timelines set by law.

You may also complain to the Commission d'accès à l'information du Québec (under Law 25) or to your local data protection authority (under the GDPR).

10. Security

We use reasonable technical and organizational measures, including encryption in transit, access controls, and row-level database security, to protect personal information. No method of storage or transmission is completely secure.

11. Confidentiality incidents

If a confidentiality incident presents a risk of serious injury, we will notify affected individuals and the relevant authority as required by Law 25 and the GDPR, and keep a register of such incidents.

12. Children

The Service is not directed to individuals under 16, and we do not knowingly collect their personal information.

13. Changes to this Policy

We may update this Policy from time to time. The "last updated" date will change, and for material changes we will provide notice.
